Privacy & Data Use Policy

This page describes what information Study in Ukraine Today collects when you use this
website or apply to study through us, where that information is held, and who
can see it. It describes how the system actually works today.

Information you give us when you apply

If you start an application through our Apply Online form, we collect and store:

Documents you upload

When you apply, you upload identity and education documents:

These are stored on our hosting provider’s servers, outside the public area of
the website. They are not published, not linked publicly, and not accessible by
guessing an address. Only our staff can open them, and only after signing in.

If you replace a document, we keep the earlier version as well as the new one.

Information the system creates about your application

Alongside what you enter, we store an internal application reference and an
internal applicant identifier, your application’s progress and status, which
documents we have received and which are still missing, a record of the emails
we have sent you about your application and whether they were delivered, a
history of activity on your application, and any internal notes our admissions
staff add.

We also store a record of the data-processing consent you give when you submit
an application: whether it was given, when, and which version of the wording you
were shown. We store a short digest of that wording rather than a full copy.

If you use a secure link to return to an application, we store only a
one-way-encrypted form of that link, never the link itself. Secure links stop
working 30 days after they are issued. A link expiring does not delete your
application
— your application and documents remain, and you can ask us for a
new link.

Information collected automatically

This website does not use any analytics or tracking system. There is no
Google Analytics, no Google Tag Manager, no Meta/Facebook tracking, and no other
visitor-tracking or advertising platform.

We do not build a profile of your browsing, and we do not store your device
information or your browsing history.

Cookies. This website sets one cookie, kirby_session. It is a functional
cookie: it keeps your session working while you fill in a form, and it protects
forms against misuse. It expires after two hours and cannot be read by scripts
on the page.

Rate limiting. To stop automated abuse of our application form, we keep a
short-lived count of submissions per internet connection. That count is stored
against a one-way-encrypted value, not against your IP address itself.

Maps. We do not embed a map on this website, so simply visiting a page does
not contact Google. Our contact section offers a link to Google Maps if you
want directions. That link is optional: Google only receives your IP address
and the page you came from if you deliberately choose to click it.

Who can see your information

We do not currently send your information to universities, to the Ukrainian
Ministry of Education and Science, or to any other outside organisation.
At
present an application is only stored on our system and emailed to our own
admissions address, along with a confirmation to you.

If that changes — for example when we begin submitting applications to
universities on your behalf — we will update this page before it does.

We do not sell your information, and we do not use it for advertising.

How long we keep it

We want to be straightforward about this rather than state something that is
not true.

At present we do not delete applications, documents or earlier versions of
documents automatically.
They are kept until we remove them. We are working
out appropriate retention periods for each type of information, and we will
update this page once they are set.

Records of the emails we have sent about an application, and the activity
history on an application, are kept in a limited form: only the most recent
entries are retained.

Asking about your information

If you want to know what we hold about you, correct something that is wrong, or
ask us to delete your application or documents, contact us at
study@studyinukrainetoday.com.

These requests are handled by our staff manually. We do not currently have
an automatic way for you to download or delete your own data through this
website, and we would rather say so than imply otherwise.

Keeping information secure

Applications and uploaded documents are stored outside the public area of the
website, with access restricted at the file level. Documents can only be opened
by a signed-in member of staff. Secure application links are stored in a
one-way-encrypted form and expire. Our forms are protected against
cross-site request forgery and automated submission.

No system is completely secure, but this is what we do.

Changes to this page

This page describes the system as it currently works. If we change how
information is collected, stored, shared or kept, we will update it.
